How to Create Heartfelt Thank-You Messages for Your Media Contacts

Thank you!

Now that we’re knee-deep into the season of gratitude, I’d love to talk with you about one of the most impactful ways to strengthen your relationships with the media: a simple, heartfelt thank-you. Taking the time to acknowledge and appreciate the journalists, reviewers, bloggers, hosts, producers, reporters, and supporters who have championed your book can leave a lasting impression that goes beyond the typical business relationship. When you genuinely express gratitude, you’re investing in a connection that’s based on mutual respect and appreciation—something that can keep your work top of mind for future opportunities. Yet, surprisingly few take the initiative to do this. You stand out when you do what others won’t do.

Here’s how to craft thank-you notes that feel personal, meaningful, and genuinely reflect the spirit of appreciation:

1. Be Specific About Their Impact

Don’t just say “thank you”. A thank you is very nice, but you go much deeper by  acknowledging exactly how they helped you. Did they feature a powerful excerpt, write an outstanding review, or add thoughtful insights to an interview? Mention what stood out to you and how it made a difference for you and your book. This not only shows that you’re attentive but also gives a sense of the impact their work had on your success.

Example: “Your interview questions were really thoughtful and helped bring the message of my book to life. I can’t thank you enough for guiding our conversation in such a way—it allowed readers to truly connect with my message.”

2. Share the Outcome or Feedback

If their article or review led to an increase in followers, caused meaningful engagement, or even boosted sales, let them know. Sharing the ripple effects of their work makes them feel appreciated and reinforces the value of the support they gave. Plus, you’ll feel great too.

Example: “After your feature, I received so many messages from readers who said they felt seen and inspired. I’m truly grateful for the platform you provided to reach new readers.”

3. Acknowledge Their Effort and Craft

Behind every media placement is a person who put in time and effort to bring your story to the public. Recognizing their professionalism and skill goes a long way in showing you see them not just as a means to an end, but as dedicated individuals who contributed to your book’s journey. This is just being human, yet it surprisingly rarely happens.

Example: “I can’t tell you how much I appreciate the time and care you put into crafting your review. It’s clear you really understood the essence of my book, and that means the world to me.”

4. Make it Personal

If you’ve connected with this person before or had a memorable interaction, mention it. Recalling a specific conversation, detail, or shared experience adds a personal touch that feels warm and genuine. This is about building relationships. Make it real.

Example: “I still remember our conversation about that winter storm—it was such a fun moment that added a special layer to our interview! Thank you again for being so wonderful to work with.”

5. End with an Invitation to Stay Connected

Conclude your note by expressing your hope to stay connected. This can be as simple as letting them know you look forward to following their work or offering to share any future stories they’re passionate about. This creates a sense of continuity, showing that your gratitude isn’t just for one occasion but is an ongoing appreciation.

Example: “I look forward to staying in touch and following your future stories. Please know I’d be honored to share any future projects you’re passionate about.”

Final Thoughts

Thank-you notes don’t need to be long to be meaningful. In fact, shorter is often better. Just a few warm, sincere, and personalized sentences are all it takes to foster a lasting, respectful relationship. And who knows? A heartfelt thank-you could be just the note that prompts a journalist or influencer to remember you down the line, opening doors to new opportunities. Another way of becoming a Media Darling!

So this week, consider spending a few quiet moments reflecting on those who’ve supported your journey and take a little time to tell them so. A thank-you truly is a gift that gives back, and this season is the perfect time to share that gift with your media connections.

To your success!

Joanne
